Cancellation Policy

At Grand Occasion Rental Limited, we understand that plans can change. This policy sets out clearly what happens if you need to cancel or reschedule your booking, including in cases of bad weather or unforeseen circumstances. We aim to be fair to both our customers and our business.

By placing a booking with Grand Occasion Rental Limited, you agree to the terms of this Cancellation Policy.


1. Booking Deposit

All bookings require a non-refundable deposit of 30% of the total hire value at the time of booking to secure your date and equipment.

Important: Until your deposit is received, your date and equipment are not guaranteed. We recommend paying your deposit promptly after receiving your booking confirmation.

2. Cancellation by the Customer

If you need to cancel your booking, please notify us as soon as possible in writing (email or WhatsApp). Cancellation charges are calculated based on the number of days' notice given before your scheduled delivery date:

All cancellations must be submitted in writing to info@grandoccasionrental.ie or via WhatsApp to 085 156 3498. Verbal cancellations are not accepted. The date of written notification is used to calculate the notice period.


3. Rescheduling Your Booking

We understand that dates sometimes need to change. We are happy to reschedule your booking subject to the following conditions:

Tip: Rescheduling is almost always a better option than cancelling outright. If your plans change, contact us as early as possible and we will do our best to accommodate you.

4. Bad Weather Policy

Ireland's weather is unpredictable — we know this better than anyone. Our weather policy is designed to be as fair as possible while protecting both parties.

4.1 Weather Does Not Automatically Cancel a Booking

Light rain, overcast skies, or mild wind do not constitute grounds for cancellation or a refund. Our equipment — particularly marquees — is designed for outdoor Irish conditions and provides effective shelter from typical weather.

4.2 Severe / Dangerous Weather

If Met Éireann or a relevant authority issues a Status Red weather warning for your county on your event date, the following applies:

4.3 Status Orange or Yellow Warnings

Status Orange or Yellow warnings do not entitle you to cancel or reschedule without standard cancellation charges. We will complete delivery and setup as planned unless conditions become unsafe for our team.

4.4 Wind Limits

Marquees and structures must be taken down if sustained wind speeds exceed 55 mph (88 km/h). Grand Occasion Rental Limited reserves the right to take down equipment for safety reasons. In such cases, a partial refund may be considered at our discretion based on the duration of use.

We strongly recommend taking out event cancellation insurance that covers adverse weather. This protects you financially in situations beyond anyone's control. We can suggest providers on request.

5. Force Majeure & Unforeseen Circumstances

Force majeure refers to events outside the reasonable control of either party that make it impossible or unsafe to fulfil the booking.

In genuine force majeure situations, we will always prioritise rescheduling over cancellation. We will work with you to find a new date and transfer your booking at no additional charge.

If rescheduling is not possible (e.g. the event is a one-off occasion that cannot be moved), we will review refund requests on a case-by-case basis. Supporting documentation may be required (e.g. government order, death certificate, medical note).

5.3 COVID-19 and Pandemic-Related Restrictions

If a government-mandated public health restriction prevents your event from taking place:

If Grand Occasion Rental Limited is unable to fulfil your booking due to circumstances beyond our control (vehicle breakdown, staff illness, supply failure), we will notify you as early as possible and offer a full refund or reschedule. We will never charge you for a booking we are unable to fulfil.


6. Cancellation by Grand Occasion Rental Limited

We reserve the right to cancel a booking in the following circumstances:

If we cancel your booking for reasons other than the above (e.g. equipment failure, operational error), you will receive a full refund of all amounts paid within 5 working days.

Please include your booking reference number, the name on the booking, and your event date when contacting us.

All cancellations must be confirmed in writing. We will acknowledge your cancellation within 1 working day and confirm any charges or refund amounts due.


9. Changes to This Policy

Grand Occasion Rental Limited reserves the right to update this Cancellation Policy at any time. The version in effect at the time of your booking applies. The most current version is always available at grandoccasionrental.ie/cancellation-policy.
